SysDocsRepo ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our application. 1. Information We Collect
We collect a minimal amount of personal data necessary to provide and improve our service. The information we collect falls into two categories:
a. Information You Provide to Us
- Account Information: When you authenticate using your Google Account, we receive your basic profile information, which includes your full name, email address, and profile picture URL. We use this information solely to identify you within the application, display your profile, and manage your permissions.
b. Information We Do Not Collect
- Document Content: SysDocsRepo operates on the principle of data minimization. Our backend systems process the content of your Google Drive documents to generate search indexes and AI-powered answers, but we do not permanently store the content of your documents on our servers. All processing is done in-memory or in temporary, secure environments and is discarded after the task is complete.
- Sensitive Personal Information: We do not request or store any sensitive personal information such as financial details, health information, or government identifiers.
2. How We Use Your Information
We use the information we collect in the following ways:
- To Provide and Manage the Service: To create and manage your account, authenticate you as a user, and enforce the permissions already set within your Google Workspace.
- To Communicate with You: To respond to your comments, questions, and requests, and to provide customer service and support.
- For Security and Compliance: To maintain the security and integrity of our application and to comply with legal obligations. Your email is used in audit logs to track actions such as checking documents in or out.
3. How We Share Your Information
We do not sell, trade, rent, or otherwise share your personal information with third parties for their marketing purposes. We may share information in the following limited circumstances:
- With Service Providers: We may share information with third-party vendors and service providers that perform services for us (e.g., cloud hosting on Google Cloud Platform). These providers are contractually obligated to safeguard your data and are not permitted to use it for their own purposes.
- For Legal Reasons: We may disclose your information if required to do so by law or in the good faith belief that such action is necessary to comply with a legal obligation, protect and defend our rights or property, or prevent fraud.
4. Data Security
We use administrative, technical, and physical security measures to help protect your personal information. Our service is built on the Google Cloud Platform, leveraging its robust security infrastructure. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.
5. Your Data Rights
Because your data is intrinsically linked to your Google Account, your rights are managed through your Google Account settings. You can revoke our application's access to your account at any time via your Google Account's security settings page. If you revoke access, we will no longer be able to access your basic profile information, and you will be unable to use the service.

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. You are advised to review this Privacy Policy periodically for any changes.
